Pure and your business processesPure and your business processes

Who is this page for?

This page is intended for clients who have recently bought Pure, or a new part of Pure, and are currently or will soon be working on an implementation project with a Pure Implementation Manager. It provides general information that is applicable to all Pures; your Implementation Manager will help you address the details specific to your individual case.

 

 

Introduction

When you acquired Pure, you will have considered the ways in which it will improve your business processes, especially those concerning research information management. During the implementation project, your Implementation Manager (IM) will help you determine how best to configure Pure so that it serves your organization's goals and processes. 

Your business processes

The first step is to document any of your current business processes that will be affected by Pure, and to discuss these with your IM. You can fill out the template tables below as a basis for a conversation with your IM about how your processes might guide the implementation of your new Pure, and conversely how Pure might change your processes. You may need to engage with other teams at your institution that will be impacted by the introduction of Pure to understand your processes fully.

Which department owns the HR data?  We will receive a data dump from HR department  
Are unique identifiers used in the HR system(s)?  Yes  
How are former employees handled in the HR system(s)?  Former employee data does not get deleted in PeopleSoft but it won't be synchronized with Pure either  
Repository What repository system(s) is used? (E.g. Eprints, DSpace, etc.) There is no specific system in place   
Do full-text files exist?  N/A  
Is repository integration to Pure considered? No  
Reporting What business reports are created with the internal systems? Publications by individual researchers by department by academic year  
What are the primary reasons for creating these reports? Keeping track of publications and citations  
What is expected of Pure in regards to reporting? Automated reporting rather than manual  
How will Dashboards be used?  Quick overview of research publications  
Award/Grant Management  How are awards/grants managed?   No particular system is used  
Are there any systems used for award/grant data?  No but we will use Pure to manage that data  
Which department owns the awards/grants data?  Rather researchers themselves  
What are the general workflows for the award/grant management (templates for detailed workflows are here)?  N/A  
Import Sources What publication import sources do you currently have subscriptions to? Scopus, Web of Science, PubMed, Mendeley  
Press/Media

Are there any systems used for Press/Media?

No  
If so, are there any plans to import Press/Media into Pure? No plan  
Newsflo is available for integration in Pure. Is this of interest to your institution? Yes but we want to check data quality first before go-live  
Metrics What research-focused metrics are currently used to drive your strategy? H-index, Citation, Social media promotion  
Facilities/Equipment Are there any systems handling facilities/equipment? Yes, we have an internal website listing facilities/equipment  
If so, are there any plans to import facilities/equipment data into Pure? Data is owned by another department so we need to consult with them first  
Activities What kind of researcher activity information is monitored in the internal systems?  We keep track of researcher's conference presentations  
Impacts How is data on the impact of research managed?  There is no particular system for that  
Courses How are academic courses taught by faculty members tracked?  Faculty members themselves  
Are they needed in Pure for reporting purposes?  No  
Ethical Reviews Do you have a system to handle Ethical Reviews? No  
Additional Legacy Data
 
Is there any other legacy data that might be brought into Pure? No

Success criteria

Near the beginning of your implementation project you should set some success criteria for your Pure implementation (if not yet specified) to provide direction. Clearly defined goals will allow your IM to tailor your project scope, timeline, and training, as well as help you to communicate project progress to your internal stakeholders. As a rule of thumb, goals need to be specific and measurable. You may want to consider using the SMART method to define your goals.
