Rolling out Pure in your institutionRolling out Pure in your institution

Who is this page for?

This page is intended for clients who have recently bought Pure, or a new part of Pure, and are currently or will soon be working on an implementation project with a Pure Implementation Manager. It provides general information that is applicable to all Pures; your Implementation Manager will help you address the details specific to your individual case.

Introduction

To ensure a successful Go-Live of Pure at your institution we recommend you make a rollout plan. The content of the plan will differ from customer to customer due to:

  • Workflows (centralised or decentralised) and other business processes
  • Size of your institute
  • Your organisation structure
  • Access to resources (e.g. Marketing)

Goals

  • Give you inspiration about how to launch Pure at your institution

Rollout plan: involve and educate

In the implementation project you work with Pure on a regular basis; you become familiar with Pure and learn its capabilities. You need to make the rest of your institution aware of Pure as well.

Please read the following suggestions for content to include in your rollout plan. Please pick the activities which fit your institution to ensure a successful launch of Pure. Many of the listed activities are examples from existing customers' rollouts (see Pure Branding).

  • Newsletter: Send newsletters on your preferred media on a regular basis to keep your institution updated on:
    • Activities in the project
    • Expected Go-Live date
    • New or changed business processes
    • After Go-Live:
      • Tips and tricks: "Did you know that...", "Have you seen the latest..."
      • Nudging: "YY researchers have already logged into Pure", “You and your colleagues have now registered XX new publications in Pure”
  • Training plan: Identify training needs for Pure users
    • Super user training: to make the super users capable of supporting and training the personal users (researchers)
    • User training - editors: To teach editors/administrators how to add and maintain content, extract content using the reporting tool etc.
    • User training - researchers: To teach researchers how to update their own profiles, add and maintain content etc.
      • Auditory training - Large-scale, but one-way communication.
      • Regular drop-in sessions - Hands-on, but small-scale.
  • Pure ambassadors: Ensure end-user acceptance. Introduce a number of researchers to Pure before Go-Live and make them Pure ambassadors. You can even involve them in the implementation project. Host knowledge share sessions with these Pure ambassadors to promote the usage and benefits of Pure.
  • Flyers or one-page manual to researchers:
    • Make a short guide for how to login, how to edit your profile, and how to keep your profile interesting/relevant/updated.
  • Materials: Elsevier has created standard templates to aid your rollout activities and these materials are made available for you to use. You can find the campus rollout kit here.
  • Go-Live events: Set up a booth in a central place at your institution in the days after Go-Live to advertise the launch of Pure.
  • FAQ: Set up a webpage where Pure users can find frequently asked questions and answers.
