PRS and Manual Changes to Research OutputPRS and Manual Changes to Research Output

What

Manually edited content on Research output will not be overwritten, but instead, skipped when the QABO Publication Import and Cleanup runs. This appears as a warning in your job log (Administrator > Jobs > Job log) under Child job of sequentialExecutingCronJob - qaboPublicationImportJob. Here you will see a note like the below when the job skips manually modified content

WARN: Publication id:5263074 contains user modifications to authors/organisations and need to be cleaned up manually. It can't be determined if the Scopus data or data in Pure is the correct version.

Why

In general, once a field is manually updated, will we not overwrite or update this field(s).

  • The manually edited fields will no longer be updated by the QABO job.
  • Manually edited fields will now need to be updated manually.
  • If you a doing a XML import or synchronisation e.g. using the Configurable Research Output Synchronisation (documents), then the fields will be overwritten by the QABO job on the next run.
  • Running the QABO Publication Import and Cleanup job or the QABO publication Import job will not delete manually created research output.

There are a few fields within the children jobs of the QABO Publication Import and Cleanup that will overwrite manually altered content on research output, but these need to be physically enabled.

  • QABO Publication Import, the settings 'Update existing research output according to on Scopus data' fields (e.g. as pictured below). Read more on these settings on KB-119.
     
  • Scopus Publication Update, the setting 'Overwrite publications with data from Scopus' (setting available in Pure versions 5.18 up). This setting can be enabled to overwrite manual changes on fields that are updated through the QABO Publication Import and Cleanup job. On the next job run, all manual changes on fields updated by the QABO Publication Import and Cleanup job will be overwritten with data from Scopus.
     

To enable the above noted settings in the 'QABO Publication Import' or 'Scopus Publication Update' follow the below steps.

  • Administrator > Jobs > Job log and open the QABO Publication Import and Cleanup job
  • Under 'Configuration' click edit
  • Next to the 'QABO Publication Import' OR 'Scopus Publication Update' click edit
  • Once in the job you should see the above mentioned settings and toggle ON as desired and save the configurations
